1. Who we are

Before The Key is a relocation service based in Chattanooga, Tennessee, operating under Epique Realty, a licensed Tennessee real estate brokerage. This policy covers beforethekey.com and the forms, phone line, and email addresses we use to work with you.

2. What we collect

We collect only what you give us, plus the small amount of technical information any website receives when a browser loads a page.

Information you give us

• The Relocation Brief. When you fill out the brief at forms.beforethekey.com, you tell us your name, how to reach you, where you are moving from, roughly when, and how you actually live: the places your week runs through, what the move has to fix, and the tradeoffs you are willing to make. That is the whole point of the brief, and we cannot build it without those answers.
• Ask a Local. When you send a question through the Ask a Local form, we receive your name, your email address, and the question.
• Calls, texts, and email. If you call, text, or email us, we keep the conversation so we can pick it up where it left off.
• Homes you send us. If you send us listings you are considering, we keep them with your brief.

Information collected automatically

When you load a page, our hosting provider and Cloudflare, which delivers and protects the site, record standard server logs: your IP address, browser type, the pages you visited, and the time. We use those logs to keep the site running and to block abuse. We do not use them to build a profile of you.

We do not run advertising trackers or analytics pixels on this site. If that changes, this section will say so and this policy's date will move.

3. How we use it

• To build your Relocation Brief and narrow the city to the areas that match your life.
• To answer the questions you send us.
• To match you with an agent who has closed homes in your areas, and to give that agent your brief before your first call.
• To follow up with you about your move. You can tell us to stop at any time, and we will.
• To keep the site secure and working.

We do not sell your information. We do not rent it. We do not trade it for anything.

4. Who sees it

Your information goes only to the people and services needed to do the work you asked for.

• The agent we match you with. They receive your brief so they can start with your life instead of with listings. They do not receive anything you did not put in it.
• Epique Realty. Our brokerage may hold records related to any transaction you complete, as required by Tennessee real estate rules.
• Deftform. Hosts and processes our forms. What you type in the brief or the Ask a Local form passes through their servers before it reaches us.
• Cloudflare and our hosting provider. Deliver the site and keep it online. They see the technical information described above.
• When the law requires it. If a court order or a legal process requires us to share information, we will, and we will tell you if we are allowed to.

Nobody else. We do not share your information with advertisers, data brokers, or lead-generation companies.

5. Cookies and similar tools

This site does not set tracking cookies. Cloudflare may set a small security cookie so it can tell a real visitor from an automated attack; it does not identify you. The embedded forms from Deftform may use a functional cookie so the form works. None of it follows you across other websites.

If we add a chat assistant to the site, this section will describe what it stores and for how long before it goes live.

6. How long we keep it

We keep your brief and our conversations for as long as you are working with us and for a reasonable period afterward, so we can pick up where we left off if you come back. Transaction records are kept for the period Tennessee law requires of a licensed brokerage. If you ask us to delete your information, we delete everything we are not legally required to keep.

7. Your choices

• See it. Ask us and we will send you a copy of what we hold about you.
• Correct it. If something in your brief is wrong or has changed, tell us and we will update it.
• Delete it. Ask us to delete your information and we will, except for records we are legally required to keep.
• Stop hearing from us. Reply to any message with "stop," or tell us on the phone, and we stop.

Send any of these requests to [email protected] or call (423) 994-8982. We answer as quickly as we can, and always within 30 days. We will not treat you differently for making a request.

8. How we protect it

The site runs over an encrypted connection. Form data is transmitted and stored by services that encrypt it. Access to your information is limited to the people who need it to do the work. No system is perfectly secure, and if we ever learn of a breach that affects your information, we will tell you promptly.

9. Children

This site is for adults planning a move. It is not directed at anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe a minor has sent us information, tell us and we will delete it.

10. Links to other sites

We link to other websites, including listing sites, public data sources, and our forms provider. Their privacy practices are their own. Once you leave beforethekey.com, this policy no longer applies.

11. Changes to this policy

When we change this policy, we change the dates at the top of this page and, if the change is significant, we say what changed here. Continuing to use the site after a change means you accept the updated policy.
